Your numbers stay yours.
Updated November 2026. This is a plain-language notice.
What happens to the numbers you enter
When you type numbers, paste a P&L or open a bank CSV, the reading and the scorecard are done in your browser. The file is not uploaded to our servers, and the numbers are not sent anywhere unless you ask for an AI note (see below). What we save is saved on your own device, in your browser storage (your month-by-month history, the category fixes you make, your ticks on this month's three, and a note that you have opened the sample month). You can download a backup file, restore it, or delete everything from the free read page at any time (that clears every Practice CEO item saved in your browser, including handed-off items and seated names). If you clear your browser data, it is gone, because we do not have a copy.
Page views
We count page views with Vercel Web Analytics, which uses no cookies and does not identify visitors. We also count them with our own small script, so we can tell a person from a crawler. For each page view it records the page address, the website that sent you (address only, without any query), any campaign tags in the link (the utm_ tags), whether the link carried an ad click ID (only that one was present, never its value), your browser's user-agent text, and a monthly pseudonymous code made from your IP address and browser details (it is not your IP address, and it resets each month). We do not store your IP address, and this counting sets no cookie. It records page views only: never the numbers, files or text you enter. If your browser sends Do Not Track or Global Privacy Control, we do not count your visit. We keep these visit records for up to 12 months in our database (Supabase), use them only to count visits and tell people from crawlers, and do not sell or share them for advertising. California residents may ask to see or delete what we hold by writing to us on the contact page.
The year-end checklist
The year-end checklist is general and asks for none of your numbers. Your checkmarks are saved only in this browser's storage on your device. The calendar file is built in your browser and saved to your computer; it holds item names and dates only. Practice CEO does not estimate your taxes: bring your numbers to your CPA for tax planning.
What we do not do
- No account or signup is needed for the free read, and we keep no accounts or passwords. Nothing is for sale today.
- We do not sell, rent or share your numbers. We do not keep them ourselves. Your files are read in your browser and never uploaded; the only exception is the optional AI note (see below).
- If you ask an officer to write an AI note (members), the summary figures it needs (for example collections, overhead and your three actions) are sent to an outside AI provider to write the note. The summary can include your region, month figures such as collections, overhead and line percentages, front-office and marketing counts, the three actions and your follow-ups, and your notebook note only if you tick the box to include it. It is not stored by us and no file, file name or bank login is sent.
- We do not use advertising trackers on the coach. Our hosting provider keeps ordinary technical server logs (such as page requests and IP addresses) for security and operations.
- Links in our personal invitation emails can carry a short code (for example ?from=name) so we know an invitation was opened. We log only the code, the page and the time; no cookie is set.
- Do not enter patient names, patient records or any patient health information. The coach does not need them and is not set up to protect them.
The two forms: “Get notified” and “Contact”
If you fill in the “Get notified when paid plans open” form, we receive your email address and, if you choose one, your role (owner, office manager, student or other). If you use the contact form, we receive your name, email address and message. We record what you typed, with the time, in our server records, and we email it to our team (and may keep a copy in our own database) so a person can read and answer it. We use it only to reply to you or, for the notify form, to tell you once when paid plans open. We do not sell it, share it for advertising or add you to anything else. Please do not put patient information in a message. To have what you sent deleted, write to us on the contact page.
Your notebook and dictation
Notes you type in the CEO notebook are saved on your device, with the month they belong to. If you use the “Speak your notes” button, your browser's own dictation service turns your voice into text (in Chrome, Google receives the audio for that). We never receive the audio. The text stays on your device unless you tick “Include my notebook note” when asking for an AI note (members).
People you seat in a chair
If you seat your own CPA, consultant or staff member in an officer's chair, their name, role and (if you add it) email are saved on your device only, as practiceceo.chairs.v1. We never receive them. “Send them this page” opens your own email.
The team board link
When you send the team this month's three, the link carries only the action names, after the # in the address, so it never reaches our server. Each team member's ticks are saved on their own phone (in its local storage, as practiceceo.team.v1). It holds no practice numbers and no patient information.
How the world sees you
When you use the free outside-in check, our server fetches the one public web page you typed, the way a browser would, runs the checks and shows you the result. We do not store the address or the page.
Payment
Nothing is for sale today, so we do not take payments and do not hold any card or billing details. If that changes, this notice will say who handles payment before anyone is asked to pay.
The anonymous benchmark
There is no shared benchmark pool today, and nothing you enter is sent anywhere except the optional AI note described above. If one is ever offered, it will be a box that is off unless you tick it, sending percentages only (never dollars, never your name), and this notice will change first.
Hosting
Our typefaces are served from our own site, not from a third party. Our hosting provider (Vercel) logs ordinary requests, as every host does. It does not receive the numbers you enter.
Your bank file
We never ask for your bank login. If you upload a bank CSV, it is read in your browser. The description column can contain names; we do not redact it, and we do not receive it. Delete the file from your computer when you are done if it holds anything you would not want others to see.
Children and changes
This site is for practice owners and their teams and is not directed to children. If this notice changes in a way that affects your numbers, we will say so at the top of the coach page before it takes effect.
California
We do not collect personal information through the free read. The only personal information we receive is what you type into the notify and contact forms (see above). We do not sell or share it for advertising. To ask what we hold or to have it deleted, write to us on the contact page; we will answer within 45 days, as California law allows.
